For [Client Company]

Today, your hands .
Tomorrow, your team .

A website that pays for itself from day one — and an operating layer ready the moment you're coordinating instead of installing.

·Before we begin — what I already know

I looked you up. This isn't a template.

Ten minutes on Companies House told me enough to shape this proposal around HiLooks specifically, not a generic "heating installer." If I've got anything wrong below, tell me — that in itself tells me how to write the site.

Registered name
HI LOOKS LTD · Companies House 14519891
Registered office
Clayworks, Apt 510 Leonard Coates Way · Stoke-on-Trent · ST1 4EW
Incorporated
2 December 2022 · filed dormant 2023 + 2024 · relaunch March 2026
The team
Three directors, one founder · appointed together 12 March 2026 — a deliberate team build, not an accident
SIC codes on file
Domestic build · Electrical · Plumbing / heating · Other installation · dead centre of the retrofit / ECO4 / heat-pump lane
What this tells me
Fresh trading. Three founders. Real trades. · the proposal is written for this version — building now, not the dormant one

Three names, three SIC codes, one fresh-trading year ahead. The rest of this document is built around that, not pasted from a template I sent to someone else last week.

IWhat we both know is true

Four bottlenecks that show up the week you take on a team.

Honest read of where you're heading, not where you are. The problems that arrive the day you stop being the one holding the drill.

01

Quotes go cold by evening.

Enquiry comes in at 10am. You're on the tools. By the time you write the quote that night, the homeowner's already three quotes deep with whoever replied first. Same-day converts. Same-evening doesn't. Same-week never.

02

Paperwork loses you grants.

PAS 2035 evidence packs. TrustMark lodgements. The photo nobody took on the day. Funder calls them missing → grant clawed back. The margin walks out the door six months after the job's done.

03

WhatsApp breaks at three installers.

Today it's you in WhatsApp — just about workable. Next year it's three installers with their own group chats, photos lost in the scroll, sign-offs impossible to find, no audit trail when a funder asks. The system that worked for one doesn't for three.

04

You can't scale what you can't see.

You'd take twice the volume tomorrow if you trusted the process to hold without you in every conversation. The cap isn't demand. It's what happens the week you let go.

IIThe plan

Two phases. The first earns trust. The second changes the business.

Most agencies dump everything on you in month one and disappear. We do the opposite — small, fast, real on day one. Big and patient when you're ready.

PHASE INOW

The foundation.

A custom website that captures every lead, makes you look the part you already are, and pays for itself within the first month. Live in ten working days.

Free build · £400 / month
PHASE IIWHEN READY

The system.

Contractor automation. Job pipeline. Compliance pack on autopilot. The thing that lets you double the volume without hiring an admin team or losing your weekends.

IIIPhase I — pick your tier

Free build. Three monthly tiers. Pick what fits.

Every tier includes the website build, hosting, domain, and a real human on the other end. The retainer is what scales — depth of work each month, response time, and how aggressively we push your growth.

IVPhase II — the system

Built when the team is in place. Not a day before.

You don't need this yet. You'll need it the week your first two installers are working jobs you haven't personally been to.

A purpose-built operating layer that sits behind the website. Job comes in one end. Compliant install, paid installer, audit-ready evidence pack out the other. You watch one screen instead of fifteen group chats — at exactly the moment you stop being the one holding the drill.

01 · DISPATCH
Job in. Right installer out.

System checks eligibility, matches the job to the right installer by postcode, accreditation, and current load. Sends them the brief. They accept or pass — two minutes, not two days.

02 · ON-SITE
Mobile-first installer app.

The right checklist for the right measure. Photos auto-tagged with GPS and timestamp. Customer signs off on the device before they leave site. Everything captured the first time.

03 · EVIDENCE
The audit pack writes itself.

Every PAS 2035 / TrustMark requirement gathered while the job is fresh. The funder's evidence pack generates on completion. No more scrambling six weeks later for a missing photo.

04 · PAYMENT
Done means paid.

Job marked complete and signed off → installer paid on agreed terms automatically. The "did this get done?" conversation disappears. So does the chasing.

05 · SIGHT
One screen. Whole pipeline.

Every live job, every stage, every blocker. The installers who deliver, ranked by data. Bottlenecks visible before they cost you a grant.

06 · GROWTH
The lid comes off.

Take on the housing association contract you've been turning down. The local authority pilot. Two regions instead of one. The cap was never demand — it was coordination.

2×

volume without doubling admin or headcount

100%

audit-ready from day one — no clawbacks, no scrambling

0

weekends spent chasing photos, sign-offs, or your own team

Phase II pricing isn't on this page — and that's deliberate. We scope it together when the team is in place. It will be a real number for real software. It will not be £400.
VWhy me

A developer who turned up to do your first fix. Both halves of that matter.

i.
ICO registered.

You handle income data, benefits, vulnerability flags. That's sensitive personal data under GDPR. Most "web guys" don't know what that means or why it matters when the funder audits you. I do — it's why the registration exists.

ii.
I build the actual software.

The website is a foot in the door. Phase II is what I do for a living. You won't be passed to a partner agency, an offshore team, or "our developer" who never quite gets back to you.

iii.
I show up.

Same number. Same person. Same week. No account manager, no ticket queue, no "I'll need to check with the team." If something breaks at 9pm on a Sunday, you text me — and it gets sorted.

iv.
I understand the trade.

I've been on your sites. I know what first fix looks like, what good contractors look like, why TrustMark inspections feel like a tax. That context is the difference between software that helps and software you uninstall.

VIThe brief

Everything I need to start. 15 minutes.

Fill this in as you read. It saves automatically on your device — close the tab, come back later, pick up where you left off. When you're done, one tap sends it to me.
